Creating Users

Add team members to your account (Admin only):

  1. Navigate to Users page
  2. Click
    New User
  3. Enter email address and full name
  4. Assign a role (Admin, Limited Admin, or User)
  5. Set an initial password
  6. The user will receive a verification email

User Roles

  • Admin: Full access to all features and settings
  • Limited Admin: Can manage users and tasks but not account settings
  • User: Can view and complete assigned tasks only
  • Super Admin: System-level access (internal only)

Groups

Organize users into groups for easier management:

  • Create groups based on teams, departments, or locations
  • Assign users to multiple groups
  • Assign projects to groups (all members get access)
  • Groups can have hierarchies (parent/child groups)

Custom Permissions

Fine-grained permissions for each user:

  • Set read/create/update/delete permissions per section
  • Sections include: Tasks, Projects, Locations, QR Codes, Time Tracking
  • Custom roles can be created with specific permission sets

Common Scenarios

Scenario 1

Onboarding a New Employee

A new team member has joined and needs access to the system.

  1. Navigate to Users and click 'New User'.
  2. Enter their email address, full name, and set an initial password.
  3. Assign the appropriate role (User, Limited Admin, or Admin).
  4. Add them to relevant groups so they can see the right projects.
  5. The new user receives a verification email to activate their account.
Scenario 2

Restricting Access for a Contractor

A contractor needs limited access to only specific projects and tasks.

  1. Create the user with the 'User' role (most restrictive).
  2. Create a custom role with only the permissions they need (e.g., read tasks, create time entries).
  3. Assign the custom role to the contractor.
  4. Add them only to the groups associated with their specific projects.
  5. They'll only see tasks and projects within their assigned groups.
Scenario 3

Reorganizing Teams After a Department Change

Teams have been restructured and user access needs to be updated.

  1. Review existing groups and identify which ones need updating.
  2. Create new groups for the reorganized teams.
  3. Move users from old groups to new groups as needed.
  4. Reassign projects to the correct new groups.
  5. Verify users can see the right projects by checking their group memberships.
