Creating Tasks

Create tasks to track work items, assignments, and to-dos for your team.

  1. Click the
    New Task
    button
  2. Enter a task title (required)
  3. Add a description for more details
  4. Set priority, due date, and assign to a team member
  5. Optionally attach checklists that must be completed
  6. Click
    Create
    to save

Recurrence

Tasks can be set to repeat: None, Daily, Weekly, Monthly, or Custom interval.

Filtering & Searching

Use filters to find specific tasks quickly:

  • Search: Type keywords to search task titles and descriptions
  • Status: Filter by task status
  • Priority: Filter by priority level
  • Assigned To: Filter by assignee
  • Due Date: Filter by overdue, today, this week

Completing Tasks

When completing a task, you may be required to:

  • Complete all required checklists attached to the task
  • Add completion notes describing what was done
  • Upload a completion photo (if required)
  • Provide a self-assessment quality score

Common Scenarios

Scenario 1

Assigning and Tracking a Recurring Inspection

You need a daily safety inspection completed by rotating team members.

  1. Create a new task with a descriptive title (e.g., 'Daily Safety Inspection').
  2. Set recurrence to 'Daily' so it auto-generates each day.
  3. Assign the task to the appropriate team member or group.
  4. Attach a required checklist with all inspection points.
  5. Monitor completion from the task list — overdue items are highlighted.
Scenario 2

Prioritizing Work After Receiving Multiple Requests

Several tasks come in at once and you need to triage them quickly.

  1. Open the Tasks page and sort by 'Priority' to see urgent items first.
  2. Use the 'My Tasks' filter to focus on what's assigned to you.
  3. Set priority levels on any unclassified tasks (Urgent, High, Medium, Low).
  4. Update statuses to 'In Progress' as you begin working on each one.
  5. Mark tasks as 'Completed' when done — required checklists must be finished first.
Scenario 3

Handling a Task That Requires Team Collaboration

A complex task needs input from multiple team members before it can be completed.

  1. Open the task and add detailed description of what's needed.
  2. Assign the task to the primary responsible person.
  3. Use comments to tag other team members with @mentions.
  4. Attach relevant checklists for each contributor's responsibilities.
  5. Track progress via status updates (To Do → In Progress → Review → Completed).
Scenario 4

Closing Out Overdue Tasks at End of Week

It's Friday and you need to review and resolve all overdue tasks.

  1. Filter tasks by status 'To Do' and 'In Progress' to find incomplete work.
  2. Sort by 'Due Date' to see the most overdue items first.
  3. For each overdue task, either complete it, update the due date, or add a comment explaining the delay.
  4. Archive any tasks that are no longer relevant.
  5. Review completed tasks to ensure completion notes and photos are attached.
