Locations

Creating Locations

Locations represent physical places where work happens. They can be used for time tracking, task assignment, and QR code check-ins.

  1. Navigate to the Locations page
  2. Click
    New Location
  3. Enter a name and description
  4. Choose a location type: GPS, Building, or Virtual
  5. Set GPS coordinates (search by address or click on map)
  6. Configure QR code settings if needed

Location Types

  • GPS: A physical location with coordinates for geolocation-based features
  • Building: A physical building or facility (can upload floor plans)
  • Virtual: A conceptual location without physical coordinates

Location QR Codes

Each location can have a QR code for easy check-ins:

  • Generate and print QR codes for each location
  • Post QR codes at the physical location
  • Set passwords for secure check-ins
  • Enable rotation to periodically regenerate codes for security

Common Scenarios

Scenario 1

Setting Up a New Office for Time Tracking

Your company opened a new office and needs QR-based check-ins.

  1. Navigate to Locations and click 'New Location'.
  2. Enter the office name, address, and set type to 'Building'.
  3. Search for the address to auto-fill GPS coordinates, or click on the map.
  4. Enable QR code generation and set a password for secure check-ins.
  5. Print the QR code and post it at the office entrance.
Scenario 2

Managing Multiple Job Sites

Your team works across several client sites that need independent tracking.

  1. Create a separate location for each job site with its address.
  2. Set each as 'GPS' type so worker locations are verified on check-in.
  3. Generate unique QR codes for each site.
  4. Distribute QR codes to site managers for posting.
  5. Monitor check-ins per location from the Admin dashboard.
Scenario 3

Enabling Secure QR Rotation at a High-Security Facility

A facility requires QR codes to change regularly to prevent unauthorized access.

  1. Open the location settings for the facility.
  2. Enable QR code rotation and set the interval (e.g., 'Daily').
  3. Set a password that workers must enter after scanning.
  4. Use a digital display at the entrance to show the current QR code.
  5. The code auto-rotates at the configured interval — no manual action needed.
