QR Codes
QR codes enable quick check-ins, task access, and verification. Generate codes for locations and tasks, print them for display, and optionally rotate them for enhanced security.
Types of QR Codes
| Feature | Description |
|---|---|
| Location QR Codes | For time tracking check-ins at physical locations |
| Task QR Codes | For quick access to task details and completion |
Generating QR Codes
For Locations:
1
Create or Edit a Location
Navigate to Locations and create a new location or edit an existing one.
2
Enable QR Code
Toggle on 'Generate QR Code' in the location settings.
3
Configure Options
- Set rotation interval (optional)
- Add password protection (optional)
- Save the location
4
Access the QR Code
The QR code is now available in the location details. You can view, download, or print it.
For Tasks:
1
Open Task Details
Navigate to the task you want to generate a QR code for.
2
Generate QR Code
Click 'Generate QR Code' or find the QR icon in the task menu.
Pro Tip
Task QR codes are useful for equipment inspection tasks. Place the code on the equipment so technicians can quickly access and complete the related task.
Scanning QR Codes
Using the In-App Scanner:
- Go to QR Codes → Scan in the navigation
- Allow camera access if prompted
- Point your camera at the QR code
- The code is automatically detected and processed
Using Your Device Camera:
- Open your device's camera app
- Point at the Finitu QR code
- Tap the link that appears
- You'll be taken to Finitu (or prompted to log in)
Pro Tip
The in-app scanner is faster and doesn't require logging in again. Use it when you're already in the Finitu app.
Printing QR Codes
Print QR codes for display at physical locations:
Download Options:
- PNG: Standard image format, good for most uses
- SVG: Vector format, scalable without quality loss
- PDF: Print-ready format with proper margins
Size Recommendations:
- Wall display (5+ feet viewing): 4-6 inches
- Wall display (2-5 feet): 2-4 inches
- Equipment label: 1-2 inches
- Badge or ID card: 0.5-1 inch
Pro Tip
Include the location name or instructions below the QR code so users know what they're scanning. Finitu's print templates include this automatically.
QR Code Rotation
For enhanced security, QR codes can be configured to rotate periodically:
| Feature | Description |
|---|---|
| Hourly | Code rotates every hour - highest security |
| Daily | Code rotates at midnight - good balance |
| Weekly | Code rotates each week - lower overhead |
| Monthly | Code rotates each month - minimal security |
| Never | Code never rotates - convenient but less secure |
When to Use Rotation:
- Prevent employees from taking photos and using codes remotely
- Reduce risk of unauthorized check-ins
- Comply with security requirements
Important
Rotating codes require updating the displayed code when it changes. Use digital displays for high-rotation scenarios, or use daily/weekly rotation with printed codes that are regularly updated.
Security Features
- Rotation: Codes change periodically to prevent reuse
- Password Protection: Require a password after scanning
- GPS Verification: Capture and verify user location on scan
- Time Logging: All scans are logged with timestamp and user info
- User Authentication: Must be logged in to Finitu to use codes
Common Scenarios
Scenario 1
Deploying QR Codes Across Multiple Locations
Your organization has 10+ sites that all need QR-based check-ins.
- Create each location in the Locations page with its address and type.
- Enable QR code generation on each location.
- Set a consistent rotation interval (e.g., weekly) across all locations.
- Download and print QR codes — use PDF format for print-ready output.
- Distribute printed codes to each site manager for posting at entrances.
Scenario 2
Using Task QR Codes for Equipment Inspections
Equipment at your facility needs regular inspections by technicians.
- Create a recurring task for each piece of equipment (e.g., 'Inspect Fire Extinguisher #3').
- Generate a QR code for each task.
- Print the QR code and attach it to the equipment with a label.
- Technicians scan the code to instantly open the task and its checklist.
- Complete the checklist on the spot and mark the task done.
Scenario 3
Troubleshooting When a QR Code Won't Scan
An employee reports that a QR code at their location isn't working.
- Check if QR code rotation is enabled — the code may have changed.
- Verify the employee is logged into Finitu and has an internet connection.
- Ask them to try the in-app scanner instead of the device camera.
- If rotation is the issue, print and post the updated QR code.
- If the code is damaged or faded, download and reprint from the location settings.
